Administrator

Carlisle Support Services is looking for an Administrator who will provide essential administrative and coordination support with recruitment, onboarding, learning and development, and wider administrative activities.

 

Your core role will include but not be limited to the following activities:

 

  • Provide comprehensive, high‑quality administrative support across Recruitment, and People Development activities.
  • Maintain accurate and up‑to‑date employee, candidate, and training records across all systems
  • Ensure all data is processed, stored, and retained in line with GDPR, confidentiality, and company policy
  • Support end‑to‑end recruitment administration, including vacancy creation, advert posting, and system updates within the Applicant Tracking System (ATS)
  • Coordinate interview scheduling, assessment activity, and candidate communications, ensuring a positive candidate experience.
  • Assist with pre‑employment checks, documentation collection, and compliance requirements.
  • Provide administrative coordination for induction programmes, training courses, and development initiatives.
  • Track attendance, completion, and certification, ensuring accurate and timely record‑keeping.
  • Support the scheduling of training activity and liaise with internal stakeholders and external training providers.
  • Assist with the maintenance of training matrices, development trackers, and audit evidence
  • Support People Development reporting where required.
  • Act as a professional point of contact for internal stakeholders, candidates, and external providers.
  • Work closely with the Talent Acquisition Manager and Head of People Development to ensure smooth people processes
  • Support the preparation of recruitment, training, and people‑related metrics and reports.
  • Ensure administrative processes are compliant, audit‑ready, and consistently applied.
  • Identify opportunities to improve administrative efficiency, systems usage, and candidate or employee experience.
  • Provide flexible administrative support to meet the evolving needs of the Recruitment and People Development Team and wider business.
  • Be the first point of contact for visitors and arriving at the building
  • Keep a track of who needs a parking space on-site each week
  • Ensure the stationery supplies are stocked and reorder when necessary
  • Ensure the franking machine is kept up to date with pricing, funds and supplies

 

The ideal candidate

 

  • Previous experience in an administrative or people-focused role.
  • Strong organisational skills and attention to detail, with the ability to manage competing priorities and tight deadlines.
  • Confident IT skills including Microsoft Office.
  • Confident to communicate with both written and verbal skills.
  • Experience handling confidential information.
  • This is an office based role
